Terms & Conditions

The terms that apply to every trip booked with Gip-Adventure Tours & Safaris: responsibilities, travel documents, safety, complaints and liability.

Last updated 13 October 2026

These terms apply to every trip, safari, climb, excursion and transfer booked with GIP Adventure Tours & Safaris ("we", "us"). By paying a deposit you confirm that you have read and accepted them on behalf of everyone in your booking. Please read them together with our Booking, Payment & Pricing terms, our Cancellation & Refund Policy and our Privacy Policy.

About us

GIP Adventure Tours & Safaris is a privately owned, locally based tour operator with a permanent office in Arusha, Tanzania. We are a registered tour operator, licensed to carry out tourism activities in Tanzania under the Ministry of Natural Resources and Tourism.

Your booking

  • A booking is confirmed when we have received your deposit (or full payment) and sent you a written confirmation.
  • The person who makes the booking must be at least 18 years old and is responsible for passing all information from us to the other travellers.
  • Please check your confirmation as soon as you receive it and tell us straight away if any name, date or detail is wrong.
  • Payments, changes and cancellations follow our payment terms and cancellation policy.

Our responsibilities

Our responsibility is to make sure every booking is carried out as planned and to the standard described. In particular we will:

  • run your trip with the itinerary, accommodation and services in your confirmation;
  • give you clear information before you travel, including a pre-departure briefing;
  • provide well-maintained 4x4 safari vehicles and professional, licensed driver-guides and mountain guides;
  • share accurate information about each park and area you visit, its wildlife, plants, landscapes and history;
  • respond quickly, with our team available on WhatsApp +255 758 433 870 throughout your trip.

Your responsibilities

  • Give us correct information, including the true age of every traveller. Lodges, parks and activities have different age rules; if an age is given incorrectly and a service has to be refused, no refund can be made.
  • Follow the rules of the national parks and reserves and the instructions of your guides and rangers at all times.
  • Respect local laws, customs and communities, and ask before photographing people.
  • Arrive on time for your transfers, flights and activities.

Passports, visas and health

  • Every traveller is responsible for holding a passport valid for at least six months after the trip ends, with blank pages, and the visas needed for every country visited. See our guide to passports and visas.
  • We cannot be held responsible for delays, extra costs or missed services caused by missing, incomplete or expired documents.
  • Travellers are responsible for their own vaccinations, malaria prevention and medical fitness, especially for mountain climbs. Please speak to a doctor or travel clinic before you travel.

Travel insurance

Travel insurance is a condition of travelling with us. Your policy should cover at least:

  • accidents, illness and medical treatment, including emergency evacuation (and high-altitude trekking if you are climbing);
  • personal accident and personal liability;
  • cancellation and curtailment;
  • loss of or damage to baggage.

Changes to your itinerary

Safari and mountain travel depends on roads, weather, wildlife and park authorities. Your guide may need to change the order of activities, a route or a timing for your safety or comfort, or because of road or park conditions. We always try to keep the same experience. If a lodge becomes unavailable, we will provide one of similar or higher standard.

Guides and guide replacement

Our driver-guides and mountain guides are trained and licensed professionals. If your guide falls ill or cannot continue for any other reason, we will replace them with another qualified guide at no cost to you.

Safety in the wild

National parks, reserves, lodges and camps in East Africa are not fenced, and wild animals move freely through them. Insects, plants and terrain can also cause harm. For your safety:

  • stay in the vehicle during game drives unless your guide says it is safe to get out;
  • never walk alone outside your lodge or camp after dark: ask for an escort;
  • never feed, touch, provoke or approach wild animals;
  • keep children under close supervision at all times;
  • pets cannot be taken on safari.

Serious incidents are very rare when these rules are followed.

Complaints

  • If something is not right during your trip, tell your guide or our representative straight away, and the supplier concerned. Most problems can be solved on the spot.
  • If the problem is not solved to your satisfaction, send us your complaint in writing to info@gipadventure.com no later than 20 days after the end of your trip.
  • Please send complaints to us directly rather than posting them on public platforms first, so that we have a fair chance to investigate and put things right. We cannot accept liability for complaints that were not reported to us in this way.

We welcome suggestions and feedback of every kind; they help us improve the way we look after our guests.

Liability

GIP Adventure Tours & Safaris and our partners act as agents for our travellers in arranging transport, accommodation, park access and other services. All services are subject to the terms and conditions of the airlines, hotels, lodges, camps, restaurants and other suppliers involved.

We do our utmost to make every trip safe. However, we are not liable for accidents, delays, injury, illness, loss of or damage to property, or any other loss or damage that is not caused by our own negligence, nor for events outside our control such as weather, natural disasters, strikes, civil unrest, war, epidemics, border closures or changes to flights.

Photography and filming

Bring enough memory cards and batteries, and protect your equipment from dust. Always ask permission before photographing local people. Commercial filming and drones need permits from the Tanzanian authorities in advance; please ask us before you travel.

Governing law

These terms are governed by the laws of the United Republic of Tanzania. We will always try to settle any disagreement fairly and directly with you first.
