Booking, Payment & Pricing
How to confirm your trip, the deposit and balance, how to pay, and how our prices are worked out.
Every trip starts with a conversation. Once you are happy with your itinerary and quote, the steps below turn it into a confirmed booking. Please read them together with our Cancellation & Refund Policy and Terms & Conditions.
How to confirm your booking
- Agree your itinerary. We send a written quote showing the route, accommodation, what is included and what is not.
- Send your traveller details. Full names as they appear in each passport, nationality, dates of birth (some lodges and parks price by age) and any dietary or medical needs we should plan for.
- Pay the deposit. Your booking is confirmed once we receive the deposit described below. We then reserve your lodges, park permits, flights and vehicle.
- Receive your confirmation. We email a booking confirmation and invoice, followed by your final travel documents and pre-departure briefing before you fly.
Deposit and balance
| When you book | What you pay to confirm | Balance due |
|---|---|---|
| 40 days or more before the trip starts | A deposit of 40% of the total trip price | 21 days (3 weeks) before the start date |
| Less than 40 days before the trip starts | The full trip price | Nothing further |
All cancellations and changes must be made in writing. If you cannot travel, contact us as soon as you know: we will always try to move you to another date before any cancellation charges apply. See our Cancellation & Refund Policy for the full scale.
How to pay
Payments are made by bank transfer to our company account in Tanzania:
Our bank details are printed on your invoice and confirmed by our office before you pay. Please never pay into an account sent from any address other than our own.
Please send a copy of the transfer receipt to info@gipadventure.com so we can match it to your booking. Bank charges on both sides of the transfer are paid by the sender, so please make sure the full invoice amount reaches our account.
Protect yourself from fraud: we never change our bank details by email. If you receive a message asking you to pay into a different account, call us on +255 758 433 870 before you pay.
How our prices work
- All prices are quoted in United States Dollars (USD).
- Prices are per person, sharing a room or tent with another traveller. Single rooms cost more.
- Prices shown on our website are a guide to help you compare trips. Your written quote confirms the exact price for your dates, group size and choice of accommodation.
- We build every price from our suppliers' current rates (lodges, park and government fees, flights and vehicles), so it reflects the real cost of your trip with no hidden extras.
What affects the price of a trip
- Length of the trip: each extra day adds park fees, accommodation and vehicle time.
- Season: lodges charge more in the high and peak seasons and less in the green (low) season.
- Group size and ages: the vehicle and guide are shared, so the price per person falls as the group grows. Children are priced by the age rules of each lodge and park.
- Type of trip: a road safari, a fly-in safari, a private trip and a shared departure are all priced differently.
- Optional activities: hot-air balloon flights, cultural visits, extra excursions and anything not listed as included.
- Time until travel: for trips two or three years ahead, prices may change before travel because supplier rates are not yet published.
Price changes after booking
Once your booking is confirmed we hold the price whenever we can. We may only increase it before departure for reasons outside our control, and we will show you the reason in writing. These are:
- higher rates from suppliers such as lodges, airlines and transport companies;
- higher fuel prices;
- exchange rate movements;
- new government laws, taxes or levies;
- higher park entrance, conservation, concession, camping or ranger fees.
